The Alumni Relations and Marketing Coordinator is responsible for essential projects that support the goal of the Office of Alumni and Relations and Marketing and Communications of Georgian Court University. Working in a team environment, this position manages independent and administrative tasks and communications to support Alumni Relations and Marketing functions. Tasks include print, voice, and digital communication; data entry and reporting; the creation of e-newsletters and online content; social media account management; and event support including planning, production, and follow up.
Serve as a customer service representative, including sending reminder and thank you emails, and responding to general inquiries from general office and program email accounts.
Utilize alumni database and customer relationship management tool, maintains accurate attendance records, magazine notes, tracks essential volunteer involvement data, and manages the creation of key Alumni Relations and Marketing reports.
In collaboration with university partners, provide support for events, including drafting events marketing tools, creating registration materials, creating and administering online pages, managing work orders, preparing invitation lists, managing registration lists, creating nametags and other event collateral, and organizing and providing materials to staff and volunteers as necessary.
Provide administrative support for Alumni Relations and Marketing meetings and events, including scheduling, preparing invitation lists, meeting preparation, work orders, and meeting notes.
Track and monitor marketing projects and coordinating deliverables with various on campus clients and third party vendors.
Assist in maintaining the university photo library and other creative assets.
Serve as liaison and provide staff support for alumni volunteer groups, including the Alumni Board of Directors.
Oversee the alumni relations website and provide vision and content for online Alumni Relations initiatives
Oversee and produce material for university e-newsletters and related content.
Administer Alumni Relations social media account, in coordination with the Office of Marketing and Communications, including developing social media strategy, creating and posting original content, and ensuring timely and effective response to social media interactions
Create communications, both print and electronic, for and to alumni, including, but not limited to, alumni information packets, sympathy and other cards.
Frequent presence at events as needed, including night and weekend responsibilities and some travel.
Proactively develop skills for the use of Raiser's Edge.
Integrate the core values of respect, integrity, compassion, justice, and service in all interactions.
Perform other duties as assigned.
Includes evening and weekend work, some travel.
Education and Experience:
Bachelor's degree in marketing, graphic design, communications, or related field are required.
Experience in administrative support, alumni relations, communications, fundraising or a related field required.
Experience working in a university or similar organizations preferred; preference is for experience in the areas of advancement and/or special events coordination.
Knowledge, Skills and Abilities:
Ability to organize and complete multiple tasks simultaneously with close attention to detail and prioritization to meet deadlines.
Strong interpersonal and communication skills, both written and oral.
Ability to exercise a high degree of discretion and independent judgment.
Ability to work collaboratively with diverse constituencies and departments.
Working knowledge of Microsoft Office Suite, including Word, Excel, and PowerPoint.
Working knowledge of social media platforms, including Facebook, Instagram, Twitter, and LinkedIn.
Working knowledge of graphic design software preferred.
Working knowledge of HTML preferred.
Experience using Raiser's Edge preferred.
Ability and willingness to work a flexible schedule, including weekends or nights.
Ability and willingness to travel as needed.
Possess and maintain a valid driver's license and have means of transportation.
