Advertised Summary Job Description: Reporting to the Senior Associate Director of Alumni Relations, the Coordinator will focus on increasing engagement and participation for Alumni Relations at Columbia Business School by working with Alumni Relations team to improve customer service processes, managing and maintaining outreach to alumni via phone and email and event outreach. Additionally, this position will run reports as needed to track progress in these realms. This individual must be a strong and motivated team member invested being part of a collaborative effort that realizes a collective vision. Candidate is expected to stay current with all relevant industry information as it applies to the overall job responsibilities, attend meetings and conferences, as required, and provide staffing at regional events. S/he will meet core and partnership values of teamwork, integrity, accountability, and respect. Responsibilities: 1.Manages the daily operations for the Alumni Relations team, ensuring that processes and procedures are followed, and providing quality customer service as well as providing training to colleagues. 2.Collaborate with cross-departmental teams to outline successful communication strategies that serve the goals and priorities of External Relations. Manage and maintain urgent and planned correspondence, including, but not limited to Reunion, Pan-International events, and regional events, maintaining School style guidelines for all. 3.In collaboration with team members, creates and executes the Alumni Relations team's social media strategy to correspond with email, direct mail, and other outreach to alumni, including outreach related to fundraising challenges, general alumni communications, affinity campaigns, and as otherwise needed. 4.Manage email communication process which includes, manage and maintain email communications calendar; proof email communications and executes using the school's mass email platform. Track email analytics, and produce/share best practices, procedure guidelines, and templates. 5.In Collaboration with the Senior Associate Director, identifies an annual calendar of events to support key constitutes. Manage and maintain online and internal alumni calendars. 6.Collaborates with team members to develop new content for the Business School website and assists in maintaining current information using CMS (Drupal) as-needed. 7.Demonstrate a commitment to improving communication both within the Alumni Relations team and with other teams in External Relations, the Business School, and the University. 8.Supervise and train work-study students on front desk protocols, troubleshooting tools/resources, executing data updates, communication etiquette, and office conduct. Manage work-study student schedules and approve timesheets. 9.Perform related duties and special projects as needed and assigned. General Minimum Qualifications: Bachelor's degree and/or its equivalent required. 1-2 years of related experience required. Additional Specific Minimum Qualifications: Excellent oral and written communication skills with a strong attention to detail when editing, proofing, and copywriting print and digital content. Strong interpersonal and presentation skills with the ability to interact and communicate effectively with colleagues and senior level management. Ability to manage several projects simultaneously with high accuracy in a fast-paced, dynamic environment. Ability to think strategically and apply creative problem-solving skills. Proven intermediate/advanced Microsoft Outlook, Excel, PowerPoint, Publisher, and Word skills required. Must be able available to work evenings and some weekends. Preferred Qualifications: Basic knowledge of HTML, Dreamweaver, Illustrator, InDesign, and Photoshop preferred. Experience with campaign monitor a plus. Prior data management experience preferably working with statistics and metrics generation desired.
