Advertised Summary Job Description: The Events Marketing Manager is responsible for heavily supporting senior staff in the management, design, planning, and execution of the University Programs and Events portfolio in the Office of the President. The incumbent will be required to demonstrate a high-level of customer service via all communication channels (email, phone, and in-person), to exercise independent judgment, confidentiality and function with minimal supervision in a fast-paced environment.
1.Under the direction of senior staff, manages all logistical arrangements including vendor selection and negotiations, tracks event related expenses for budget reporting; liaises with internal and external partners.
2.Drafts related event materials including memos, briefings, staff plans, online event listings, invitations, print and digital collateral and marketing plans.
3.Responsible for the oversight of all event management platforms including the University calendar system, registration software, websites, and digital content development platforms.
4.Responsible for event data analytics and reporting. Assesses event results, including audience attendance and breakdown and make recommendations for upcoming events.
5.Responsible for the usage of event registration software (Thunderbird, MailChimp, Bedework, Filemaker) adhering to policies and procedures of the Office of the President and serves as a resource to colleagues. Records data for the creation of reports following events.
6.Drafts departmental mass campus communications and oversees distribution. Liaises with CUIT and other relevant departments to accurately deliver campus wide communications.
7.Manages and maintains day-to-day relationships with vendors and internal event planning counterparts. Conducts research to identify possible new vendors and best practices across the University.
8.Liaises with program participants and special guests as appropriate.
9.Serves as lead on technologies and digital efforts related to Communication/Marketing tasks, such as MailChimp, Bedework, e-blasts. Works closely with internal departments to manage and streamline relevant projects. Explores new technologies and alternatives for optimal efficiency and makes recommendations to senior staff.
10.Develops web content, printed and digital materials, and manages websites, for annual programming including Commencement and World Leaders Forum while maintaining exceptional knowledge of the Office of the President style guide. Responsible for creating, sourcing and updating website banners, posters, logos, images, and templates. Updates and maintains marketing grid for promotion of events, including student organization/department contacts lists.
11.Assists the Director and Associate Directors with special projects. Provides project support and liaison functions for the rest of the team as required.
12.Additional duties as assigned.
General Minimum Qualifications: Bachelor's degree or its equivalent required. Minimum two years of related experience.
Additional Specific Minimum Qualifications: Must demonstrate outstanding interpersonal skills and the ability to work in a fast-paced environment while maintaining a calm and professional demeanor. Excellent professional interpersonal and communication skills are required, both written and verbal. Must be highly detail-oriented. Exceptional organizational skills with the ability to handle multiple tasks at once. Meet deadlines under pressure and with accuracy. Must exercise a high degree of diplomacy, collaboration and problem-solving. Confidentiality and discretion are required. Some evening and weekend work required.
Preferred Qualifications: Minimum of three to four years marketing or event production experience preferred. Experience in a university, major cultural institution or other comparable environment is desirable.
